How to plan a group trip without the group-chat chaos

Seven steps that work for a weekend with friends, a bachelor party or a family week. The order matters: lock the date first, then the place, then everything else.

  1. 1

    Pick the date first

Put up two to four date options and ask everyone to tick every one that works. Dates are the hardest thing to align, and everything else depends on them.

  2. 2

    Get a head count

Ask who is in, who is a maybe and who can’t make it. You need the party size before you look at places to stay.

  3. 3

Choose a place that’s fair to get to

Ask where everyone is coming from and how they’ll travel. Favor spots where nobody’s drive is much longer than everyone else’s.

  4. 4

    Agree on budgets privately

Let each person set a budget only they can see. Then pick a place that fits everyone, or let friends chip in so nobody is priced out.

  5. 5

Book, then share the address once

Once the place is booked, put the address, door code and check-in notes in one spot everyone can find.

  6. 6

Sort rides and a bring list

Pair people who need a ride with drivers nearby, and split the shopping list so you don’t end up with four coolers and no ice.

  7. 7

Plan the days, then settle up

Put the must-dos on a shared plan and leave room for downtime. Log shared costs as you go and settle up in one tap at the end.

Trip Done does each of these steps for you: a date poll, RSVPs, private budgets, fair drive times, carpools, a shared plan and the cost split. See the trip templates or the rental split calculator.
